This policy describes Luxe Bid, the site at bid.luxeindy.com. It covers job applicants, people who work here, customers, and anyone else who uses the site.

Who we are

Luxe Commercial Services is a commercial and post-construction cleaning company in Indianapolis. It is operated by Rebholz Enterprises Inc., an Indiana company. Luxe Bid is the app we use for bids, customers, crew time, hiring, and messages.

What we collect

Job applications

If you apply or register, we store your name, phone, email, city or ZIP, the days and shifts you can work, your experience, whether you have transportation, the date you can start, how you heard about us, the language you chose, whether you use WhatsApp, and any note you write. You can upload a resume or other documents. Those files stay with your application. Only the hiring team can open them.

If you apply from a crew member’s referral link, we store which person shared it. Opening the link does not create an account.

If you agree to shift alerts, we store the channel you chose (WhatsApp or text), whether you also want a notice when someone messages you in the app, the time you agreed, and the internet address and browser of the device you used.

Referral links

A crew member can share a personal apply link. If you apply from that link, the application is tied to that person. We also keep the referral record used to pay a referral bonus.

Crew profiles

For people who work here we store name, legal name, preferred name, phone, email, home address, language, role, start date, shirt size, gender, emergency contact name, phone, and relationship, a photo if one is added, and whether WhatsApp or text notices are on. Pay rate is stored for payroll. Birthday month and day can be stored for the company calendar. The year is optional and is not shown on the calendar. You can hide your birthday.

We record that payroll setup, Form I-9 documents, and direct deposit are steps you will finish outside this app. Luxe Bid does not store Social Security numbers or bank account numbers.

Photos, messages, and the crew wall

Besides the clock photo described below, the app can store profile photos, job photos, and photos attached to a message or a wall post. Crew can send messages inside the app. People can post on the crew wall and comment. We store the text and any photo.

Phone alerts

Shift alerts are optional. You choose WhatsApp or text and agree before we send them. Alerts can include shift updates, company announcements, and, if you ask for it, a notice that someone messaged you in the app.

WhatsApp messages go through Meta’s WhatsApp Business service. Text messages go through Twilio. Replies those services deliver to Luxe are stored.

Reply STOP to opt out. That turns alerts off on both WhatsApp and text. Reply START to turn them back on. You can also turn them off in crew Settings, and a manager can turn them off on your profile. Message and data rates may apply.

We do not use text-message opt-in data or consent for marketing. We do not share that opt-in information with third parties or affiliates for their marketing or promotions. Twilio and Meta receive only what they need to deliver the alert you agreed to.

Email

Luxe Bid can email quotes, invoices, purchase orders, customer portal codes, and similar notices through Resend. Mail leaves Luxe Bid only when email delivery is turned on.

For purchase orders, Resend tells us when a message was delivered or opened. When someone opens a quote or invoice link in the browser, we store the time, the internet address, and the browser.

Customers, bids, and invoices

We store customer and contact names, phone numbers, emails, and addresses, plus the bid or quote: scope, price, schedule, signatures, and related files. A signed quote can store the signer’s name, title, email, internet address, and browser. A customer portal uses the quote email and a one-time code. The code expires after 10 minutes.

Push notifications

If you turn on notifications in the app, we store the push subscription your phone or browser gives us. That is an address and two keys for that device. We use it only to send a notice to that device, through your phone or browser’s push service. You can turn this off in your device settings.

Cookies

We use these cookies to keep you signed in and to remember English or Spanish. We do not use advertising cookies.

  • Staff sign-in, luxe_bid_session, about 30 days.
  • Crew sign-in, luxe_crew_session, about 90 days.
  • Language, luxe_locale, about a year.
  • Apply-page language, luxe_apply_lang, about a year.
  • View as crew, luxe_view_as_crew, about 8 hours, and only while an admin is using that preview.

Location at clock-in and clock-out

Luxe uses your phone’s location only when you clock in or clock out. The app asks the browser for your location once for that punch. We save the latitude, longitude, accuracy, and how far you were from the job, with that punch, so a manager can see that you were at the job. We also save a photo of you taken with the punch, and the browser’s name.

We do not track you between punches. The app does not collect location in the background, and it does not follow you while you are on the clock. Each punch is one location reading, taken when you tap clock in or clock out.

How we use it

We use this information to price and run jobs, pay crew, staff the schedule, review applications, send the alerts you opted in to, and answer customers. Location is used to record whether a punch was at the job. Photos are the punch record and the job record.

We do not sell personal information. The app has no advertising network and no tool that sells data.

Who can see it

Office staff can see the customers, bids, crew records, punches, and messages their role allows. Admins can see pay. Crew can see their own schedule, their jobs, crew messages, the crew wall, and their own profile. Crew do not see bid prices or other people’s pay.

Customers who open a quote link, or who sign in to the portal with their email and a one-time code, see their own quotes and projects. They do not see other customers or crew pay.

Where it is stored

These companies process data so Luxe Bid can run. We do not send it to an advertising company.

  • Vercel hosts the site.
  • Neon provides the Postgres database.
  • Vercel Blob stores photos, uploaded documents, and PDFs.
  • Resend sends email.
  • Meta’s WhatsApp Business service sends WhatsApp alerts.
  • Twilio sends text messages.
  • Intuit QuickBooks Online can receive customer records and accepted estimates when an admin connects it. Signing a quote does not wait on QuickBooks. Emailing an invoice does not create a QuickBooks invoice.
  • Esri provides map pictures.
  • Nominatim (OpenStreetMap) looks up addresses, unless a different address service is configured.

How long we keep it

Staff sign-in ends after about 30 days, and crew sign-in after about 90 days, or sooner when you sign out. A customer portal code expires after 10 minutes. The view-as-crew cookie lasts about 8 hours.

Applications, crew records, punches, photos, messages, bids, and invoices stay in Luxe Bid until someone at Luxe deletes them. The app does not delete those records on a timer. We keep what we need for payroll, taxes, safety, and a signed agreement.

How to ask for a copy, a correction, or deletion

Email chad@luxeindy.com or keriann@luxeindy.com. Use the subject “Privacy request.” Tell us the phone number or email we have for you, and whether you want a copy, a correction, or deletion.

We will delete or correct personal information we are not required to keep. Payroll, tax, safety, and a signed quote may have to stay.

To stop phone alerts without closing your account, reply STOP. Message and data rates may apply.

Children

Luxe Bid is for adult customers, applicants, and crew. It is not for anyone under 18. Do not apply, and do not send us information about a child.

Security

Staff passwords and crew PINs are stored as hashes, not as plain text. Session tokens in the database are hashed. Sign-in cookies are HTTP-only. On the live https site they are marked secure.

Changes

If this policy changes, we will post the new date at the top of this page. The date on this page is October 6, 2026.
